Do Not Send Sensitive Records Through Public Email

Do not send employee names, detailed allegations, complaint or investigation files, medical information, Social Security numbers, financial account information, privileged legal communications, credentials, protected disclosures, or other sensitive records through the public website email channels unless ECS has specifically provided an approved secure transmission method.

No Engagement Created by Inquiry

An email, telephone call, or other public website inquiry does not create an ECS engagement, attorney-client relationship, privileged relationship, fiduciary relationship, or employment relationship. An ECS engagement begins only through an approved written agreement signed by authorized parties.

Not an Emergency or Reporting Channel

The public website contact channels are not monitored as emergency services and are not employee complaint systems, whistleblower hotlines, protected-disclosure channels, clinical intake systems, or substitutes for required reporting procedures. Use appropriate emergency, internal, governmental, or other reporting channels when immediate safety, legal deadlines, or protected rights are involved.

Secure Follow-Up

If ECS needs sensitive information to evaluate or perform an authorized engagement, ECS may designate a more appropriate transmission or storage method. Use only the method ECS identifies for that purpose.
